This is the process of negotiating and executing contracts and other legal documents associated with the event project. It incorporates a lawful design and implementation of the policies, procedures and practices of the event organisation and its representatives.

Effective legal management involves the following key practices:

Legal commitment recognition

Determine the nature of your event and the type of legal commitments to engage in. Recognise the dimensions of a legally binding agreement. In order to understand the dimension, you must determine legal obligations, liabilities, and the most important legal documents. As you engage in legal commitment it is important that you retain competent legal counsel that is appropriate to the event project. Seeking professional advice helps make the right decisions and appropriate legal commitments.

Contract Identification

Before engaging any contractor, examine the products and services you need, so you can easily access appropriate legal advice. Examine the documents to be issued by the event to determine which contract to adopt. With professional guidance you will be able to determine the right contract. Be familiar with different clauses in the contract which define your expectations from the contractor and your organisation.

Contract Negotiation and Execution

Negotiating the best deal with contracts is important. Specify agreed obligations, terms and remedies. Put these agreements in writing. Conduct appropriate due diligence to determine the best offers. Obtaining the best offer will help maximise profits. Prepare, review and finalise contracts with the appropriate legal counsel to help understand the clauses and to comply with the contract.

Contract Supervision

Contract supervision is achieved by monitoring the different stakeholders so that the specifications and obligations are observed as agreed. Make sure you monitor, enforce and follow the agreed terms and conditions for all parties. All changes must be put in writing before signing. Ensure the contract is closed effectively.

Lawful and Ethical Operations

Ensure the event has the required licenses and approvals in order to operate legally. Acquire the right licenses ie. site permit to host an event. Ensure the event runs in accordance with the stipulated agreements and operates in a responsible manner. The policies and procedures that are established must meet legal requirements. Developing policies that specify ethical practices and behaviours assists public relations for the event.

Following the law and requirements that are stipulated and agreed upon builds integrity and positive public relations for the event. Following the above factors ensures effective legal management.
