This is the acquisition of the necessary permissions and documents which demonstrate that you have obeyed all the accessibility mandates and property right requirements which indicate that the event has met its legal obligations.

In order to comply effectively, the following factors must be considered:

Access Legal and Regulatory Obligations

You begin by determining the range of legal and regulatory issues surrounding the event. What type of documents and permits do you need to acquire for the event to run effectively. Examine the plans of the event in order to determine the scope and the obligations which must be applicable to the event. These obligations might be things to do with dress code and what to carry in the event. Seek advice and assistance from those with experience in the field.

Determine Authorities and Authorisations

After assessment, you need to identify the relevant authorities, agencies or governing bodies based on the type of the event. Determine the process for acquiring the correct documents and the procedures to be followed, whilst consulting and cooperating with the regulatory authorities. For example the environmental regulations must be followed in order to maintain a good relationship with the authorities. Specify the procedures for authorisations that are event based.

Protect Individual Rights

As we have learnt, people are the most important part of the event. Without people the event will definitely be unsuccessful. It is imperative that you protect the individual rights during the event. Accessibility legislation must be identified and complied with. Health, safety and employment legislation are issues that must be followed and applied effectively. Ensure concerned authorities are aware of the event and you comply with their requirements. Bearing in mind that different events attract people of different cultures and races, anti-discrimination legislation laws must be observed. Consumer protection must also be identified and complied with to maintain health requirements for the people. Privacy and confidentiality is important legislation that must be complied with. Confidential information of people must be secured and not accessed by unauthorised people.

Protects Property Rights

Physical assets such as the equipment and grounds are important also. You must identify and comply with the property rights legislation and any fees or contracts that must be signed. Licensing obligations must be obeyed in accordance to the law. Identify and comply with public and private property usage regulations.

Acquire Compliance Documentation

Identify the necessary legal “papers”, acquire them and comply with them. Prepare for the acquisition of the compliance instruments. The process must be followed to enhance effectiveness and efficiency. Ensure that each stakeholder follows the due process of acquiring the documents by monitoring them and reading the documents when presented to you.

Complying with the necessary regulations and obligations is imperative for effective events management. Following the set procedures helps maintain good public relations.
